Team Treasurer / Scrimmage Manager

Update for 2023-24 Season: You may remember from previous seasons that Team Treasurer and Scrimmage Manager were separate team volunteer positions. Going forward those positions have been combined into one position.

Duties

OWN the checkbook. You are the only person to write checks.
  • Once your registration is complete, the CCHA Treasurer will be notified of your role, and they will give you instructions for obtaining the team checkbook.
  • Please do not allow anyone else to write checks on the team's behalf. You are responsible for the team checkbook for the entirety of the season.
  • Work with Head Coach and Team Manager to help set team budget/slush fund.
    • Things to include are referee fees, parties, out of town tournament expenses, end of the year party, coach gifts, etc.).  See sample budget links.
  • Manage & retain receipts/expenses.
  • Regularly share the budget & team expense spreadsheet with your team.
    • People want to know where the money goes!
  • Checkbooks should be turned in at the end of the season.
    • You will receive a communication from the CCHA Treasurer towards the end of the season with the due date for team checkbooks to be turned in.
    • Leave around $5 or so in the account before turning in checkbook.
  • Work with Head Coach to understand preferences for scrimmages.
    • This includes how many scrimmages they plan to have.
    • Determine whether each scrimmage will be a scrimmage or a controlled scrimmage.
  • Understand the differences between controlled scrimmages and scrimmages. 
    • Controlled scrimmages do not count toward your game total for Squirt & 10U teams.
ALL SCRIMMAGES MUST BE ADDED TO YOUR CALENDARS BY THE ICE COORDINATOR REGARDLESS OF HOME OR AWAY!!!
 
  • You may turn any of your pre-assigned solo practice times to host a home scrimmage.
  • If you are looking to schedule additional ice for a home scrimmage, it can only be on a weekend.
  • Ice Coordinator WILL NOT swap your ice.
  • If you schedule a scrimmage before the practice ice schedule is published, please notify the ice coordinator.
  • If you have any doubts, consult the D6 Handbook or ASK.

  3. Click the Arbiter Sports link below to verify refs (once you have your permissions).

CCHA GUIDELINES FOR SCHEDULING SCRIMMAGES:

Do not schedule a scrimmage without consulting with your head coach first.

  • Do not schedule reciprocal scrimmages.
    • (Reciprocal scrimmages happen when each team pays ½ cost of refs and ice)
  • Talk about payment expectations upfront with the other team.
  • We do not have ice for home weeknight scrimmages – please ask for weekend only.
  • Ice Coordinator MUST add ALL scrimmages to a calendar. 
  • Score sheets must be turned in for all scrimmages on D6 ice by home team.
  • Referees must be hired if you use the scoreboard.
  • D6 Referees must be hired if you bought the ice.
    • $20 extra per ref if out of circle. (Example: Your team and Eden Prairie go down to Mankato and buy ice, scrimmage and then go to a Mavericks game. You must use D6 referees and pay the surcharge. Recommended: if you go out of the circle, have the non D6 team buy the ice, then they will schedule the refs).  THIS IS NOT OPTIONAL

Position Details

Position Team Treasurer / Scrimmage Manager (This position exists for upper level teams only).
Position Description Prime contact for setting up competition level-based scrimmages for team. Responsible for communicating with coaches about team needs. Work with outside teams to plan ice time, costs and referees. Responsible for managing the team's slush fund money.
Term Length 1 Season (You can be a team treasurer for more than one season, but you must sign up each year).

Typical Team Treasurer / Scrimmage Manager Schedule & Responsibilities

Ongoing Monthly Tasks Sept / Oct Nov / Dec Jan / Feb March / April
Maintain team slush fund. Set budget for slush fund with Team Manager/Head Coach. Continue to complete all ongoing tasks noted in first column. Work with Team Manager to coordinate for out-of-town tournaments and determine use of slush fund money. Pay for year-end party expenses.
Balance team checkbook. Obtain team checkbook from Klein Bank. Continue scheduling scrimmages as needed. Pay for food during out-of-town tournament out of slush fund. Purchase end-of-season coach gifts.
Determine when ice/referees will need to be paid for scrimmages. Determine how much team will spend from slush fund. Communications as needed with team. Continue to complete all ongoing tasks noted in first column. Reimburse families if there is any money left over after all bills are paid.
Reimburse Team Manager or anyone else for items eligible for reimbursement that they may pay for. Collect money from each family for slush fund. Communications as needed with team. Return checkbook to Klein Bank.
Pay team expenses that occur (food for tournament, pizza party, ice time, etc.) Write out checks and mail gate fees for each tournament that requires it. Continue to complete all ongoing tasks noted in first column as necessary.
Set up scrimmages for team based on coach direction and following D6 rules. Continue to complete all ongoing tasks noted in first column. Continue scheduling scrimmages as needed.
Coordinate efforts with Team Manager & Ice Coordinator.. Request Arbiter account if you don't already have one. Communications as needed with team.
Work with Team Manager to discuss current and future slush fund purchases. Connect with outside teams to begin scrimmage scheduling based on coaches direction.
Communicate with outside teams regarding payment, location and ice time/refs. Schedule referees as needed though D6 website.
Adjust scrimmage competition level based on team performance and coach direction. Work with Team Manager on setting up scrimmages.
Coordinate efforts with Ice Coordinator.
